How to set up and modify Business, Group and Domain Licenses

To purchase, view and modify your license, verify or modify organizations and users in your license, you need to select G-Accon for Xero or QuickBooks and choose the “Buy/Manage License” menu option.

The Overview screen allows you to review your subscription Google account, which can be modified using the “Update Email” function. It also displays the license type, the number of days left until the next renewal, and the connected organizations. Additionally, you can request a secure payment link to modify the method of payment. We accept credit card payments, PayPal, and ACH.

To update the Google account in your license, you need to click on “Update Email“. Before updating your Google account, make sure you change the ownership of templates for each of your Google files if you want to keep and reuse the existing reports.

The Request Payment Method’s “Request Link” function will send a secure payment link to modify the method of payment. We accept credit card payments, PayPal, and ACH.

#How to add/remove organization(s)

The Organizations screen allows to view how many connected organizations are under the license and what the maximum available organizations are. Users can filter the results by organization name, Google account, and privileges.

Account administrators can disconnect any unnecessary organization(s).

The Subscribers screen allows to view, modify and remove the users from the license.

To modify a subscriber select the first icon, modify and click on “Update” to save the changes.

#How to add/restrict user(s)

To add a user, click on the “Add Subscriber” button, enter the email, confirm it, provide the first and last name, and select the required access level. Once done, a new user profile is created, and an email containing instructions on how to install the product will be sent to the newly created user.

The following roles and privileges can be assigned to group license users:

Read Only (Downloads Only)– Users are able to create standard and customized accounting templates, manually refresh them, establish workflows for automatic refreshing, and store templates in the cloud. However, they can only download templates and cannot upload data.

Execute Existing Templates Only – Users have permission to execute only the templates shared with them, without the ability to modify or create new ones.

Full Access (Downloads and Uploads)– Users have full control, including creating standard and customized accounting templates, manually refreshing them, setting up workflows for automatic refreshing, saving templates in the cloud, and bulk-uploading data from Google Spreadsheets to specific organizations.

Full Access/Admin Rights – Users have complete authority, enabling them to create, modify, and refresh standard and customized accounting templates, set up automatic refreshing workflows, save templates in the cloud, bulk-upload data from Google Spreadsheets to various organizations, as well as manage user accounts by creating new users and assigning roles to them.

The Pricing Plans screen allows to review the current plan, change it, change the billing cycle (annual/monthly), and add/remove subscribers or organizations within the license.

To change plan click on “Change Plan” button, select the desire plan and finish the transaction.

#Type of licenses

A domain license is a license assigned to a specific domain. For instance, using abc@accon.services for an individual user instead of something like abc@gmail.com. Domain licenses are also sometimes referred to as volume licenses.

Our structured module enables your business to procure and oversee licenses for all your users. We offer multiple tiers/plans that encompass various combinations of users and companies, catering to your business requirements effectively.

There are four plans or tiers of Single User, Group and Domain licenses available to G-Accon users: Business, Accountant, Advisor, and Enterprise.

The Business license is a single-user license designed to provide all the tools needed for managing accounting or bookkeeping tasks efficiently.

The Accountant license is a Group license that has been designed for growing accounting/bookkeeping firms and businesses. This license can be used for up to 5 users and up to 25 companies. 

The Advisor Group license is meant to be used by established small or medium-sized accounting/bookkeeping companies and businesses. This license can be used for up to 10 users and up to 50 companies . 

Finally, the Enterprise Domain license has been designed for medium and large accounting/bookkeeping companies and businesses. This license can be used for unlimited users and unlimited companies within the same domain.

The Accountant and Advisor plans might include an organization domain such as @accon.services in addition to an individual email such as abc@gmail.com

For the Enterprise plan only users, a “within company” domain can be added. By default, any users who are added to the Enterprise plan have the “Full” access.

To change the billing cycle click on “Change Billing Cycle” button, select the desire cycle and modify it:

To add additional users or organizations or remove them from your license, use the “Add/Remove Subscriber” or “Add/Remove Organization” option accordingly.
